Purchasing Manager 

 

REPORTS TO: C.E.O. (Directly), President (Indirectly) & V.P. (Indirectly)

 

DIRECT REPORTS: N/A

 

DEFINITION:  Performs responsibility as directed by CEO to handle vendor purchases and assist the sales team with quoting, cost analysis, and inventory analysis to assure production timelines can be met, assist with pricing based on cost.  This position will take responsibility of raw stock sales and logistics of raw stock sales. Works with Warehouse manager to assure proper levels of inventory are being met and to communicate orders in place and that obligations specified within the order are being carried out.  Work with suppliers to assure product meets specifications as set by the management team.

 

JOB FUNCTIONS:

 

Examples of Essential Job Functions: Support the Sales Manager and Plant Manager on operations issues that may arise due to shipment issues; resolves receiving error issues; provide non-inventory purchasing support; assess production requirement on a weekly/monthly/quarterly cycle based on the sales forecast and address purchasing requirement to assure IN STOCK levels are met;  create and track PO through File Maker and confirm as material arrives; work with administration on any past due invoices or other related topics; track invoices to PO for accuracy; expedite components as needed to keep production lines running; maintain supplier files by keeping them complete and up to date; establish preferred supplier list; review and verify past due PO reports and contact suppliers to address overdue POs; develop relationships with suppliers in order to resolve delivery and quality concerns; continually look at new opportunities to save on purchasing from new vendors or in quantities that allow for discounts.  Keep purchasing records clean and up-to-date; close out orders once received; cancel old open orders not filled.

 

Other Job Functions:  

Responsible as the main contact for raw material pricing & sales; backup sales for feeders and other components.
Purchasing logistics – confirming ordered materials logistics are being met through tracking and troubleshoot backorder status, arrange shipping/trucks as needed.

 

EQUIPMENT:

 

Examples of Equipment Essential to the Job:  Computers, software, and peripheral equipment, calculator, intercom, two-way radio, printed materials, loading equipment, emergency equipment, press brake, sheering equipment and other related equipment to the industry.

 

PHYSICAL AND ENVIRONMENT CHARACTERISTICS:

 

Required Physical Activities:  Climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, finger dexterity, grasping, feeling, talking, hearing, and repetitive motions.

 

General Physical Characteristics:  Work involves sitting approximately 20 percent of the time, standing (but not walking) five percent of the time; standing and walking 75 percent of the time; heavy work requiring the exertion of up to 100 pounds of force occasionally, 50 pounds of force frequently, and up to 50 pounds of force constantly to move objects.

 

Vision Requirements:  The minimum standard for use with those whose work deals largely with preparing and analyzing data and figures, accounting, transcription, computer terminal, extensive reading, visual inspection involving small defects, small parts, operation of machines (including inspections), using measurement devices, assembly or fabrication of parts at distances close to the eyes.

 

Environmental Conditions:  The work is performed inside or outside and includes being exposed to cold, heat, noise, mechanical and electrical hazards, chemical hazards, atmospheric conditions that affect the respiratory system or skin, oils, working in isolation, and use of a respirator if the need arises.

 

EMPLOYMENT STANDARDS:

 

Education and Experience:  Successful completion of high school, B.S. Degree; and/or a minimum of 3 years in a manufacturing facility of stainless or carbon steel and at least but not limited to three years’ experience in purchasing, procurement and/or logistics; or an equivalent combination of education and experience.

 

Licenses and Certificates:  Valid South Dakota driver’s license

 

Knowledge, Abilities, and Skills Necessary to Perform Essential Functions:  Considerable knowledge of Accounting and impact of cost saving measures; considerable knowledge of procurement and purchasing timeframes; considerable knowledge of sales practices and sales tracking; knowledge of overall stainless steel plant operation; knowledge of the practices and techniques used in building hog feeders; knowledge of hog industry and common practices within the industry; knowledge of competition;  knowledge of laws and regulations related to the manufacturing and distribution within the State of South Dakota; knowledge of computer systems and applications software; knowledge of the operation and maintenance of plant operating equipment; knowledge of standard safety practices.

 

Ability to read and record data from calls  accurately; ability to make mathematical computations and interpret data; ability to understand the significance of sales and impact of COG; ability to understand the nature and seriousness of systems malfunctions and to take remedial action; ability to work alone and to take responsibility for previously outlined procedures; ability to work under adverse conditions including exposure to extreme weather, ability to act quickly and calmly in emergency situations on an individual basis; ability to establish and maintain effective working relationships with fellow employees and our consumers.
